Draft Minutes of The Bwanji 2006 Party LSK (guys pls feel free to put down your comments) Bwanji.com Online Community
For those that attended the meeting pls chip in where you can
1st 2006 Lusaka Party Organizing committee meeting 12th November 2006

    Present
    1. telishawill (Chairperson)
    2. kayambila
    3. zena
    4. Nana2
    5. mangalungu
    6. vatice
    7. Farmboy
    8. JayJay

The meeting was called to order by telishawill at about 15.00hrs.

JayJay stated that the party idea in its own right was not a good idea as that was not what Bwanji.com Online Community would want to be remembered by as its first act, but rather a party with an intention to donate proceeds to a charity to be identified would e a better idea. He further went on to propose that we identify a vulnerable group to be the beneficiary of the donation, preferably one that had not had anything donated to them in the past. The committee went to look at possible items that could be purchased for donation but agreed that this could only be done after a beneficiary had been identified and their needs assessed.

    Possible groups mentioned were:
    a. An orphanage
    b. A Maternity ward
    c. Chronically ill people in hospital
    d. An aged peoples home

    Fundraising
The committee identified a number of named targeted well-wishers and it was agreed that we write letters and proposals to these to these organizations after a definite beneficiary had been identified

It was further stated that the fundraising would be on three fronts being:
    1. Gate Takings from the party
    2. Possible sponsorship by well-wishers
    3. Direct contributions by Bwanji Members both local and abroad

Farmboy stated that some Bwanji members overseas had advised that an account be opened where funds meant for donation could be sent from overseas.

The committee went on to look at possible venues to hold the party these were:
    o Club phoenix
    o Ethiopian Restaurant (Kafue Road)
o Bowling Alley (Arcades Shopping Mall)

Telishawill revealed that she had spoken to the Manager of Club Phoenix and floated the idea of holding the party there to which he agreed stating that as long as people bought food and drinks at the club, they would have no objection to the party being held there.
The Manager advised that the involvement of a Celebrity/Local Musician would guarantee a large turnout and ultimately the success of the party.
Telishawill mentioned that she had misplaced KRISIS’ number but would try to locate it.
Farmboy stated that LV was his friend and that he would attempt to convince him to perform at the party.
The Chair stated that we needed to come up with terms to be agreed with the Management of the venue on the percentage of the gate-takings that would be retained by Bwanji to be used for purchase of items to be donated.

    Advertising
The Chair stated that she has spoken to some QFM DJs about their possible involvement in the party and that she had received favourable responses. They had explained that Bwanji could get a free interview where some free tickets could be given away on air and that if we purchased four Airtime Slots to advertise the party we would get some free Slots.
Telisha also stated that the Radio Phoenix club manager has stated that if we held the party at Club Phoenix we would be guaranteed some free advertising space.
Mangalungu stated that the printing of flyers and posters was a definite possibility

The committee then suggested that we form Sub-committees with specific duties and responsibilities as follows:

    farmboy
 Identification of Beneficiaries and their immediate needs
 Design of Tickets (if necessary)
    mangalungu
 Logistics including meetings with possible well wishers

    telishawill
 Activities to be carried out during the party
 Meeting with managers of possible venues and DJs

Zena stated that we needed to come up with goals that were realistic and a catchy proposal that we could float to well wishers to which the others present agreed.

The Meeting closed at around 17.10hrs with the members being advise that even though some had not been given tasks they must try to see what input hey can bring into the committee as we did not all know each others strengths and weaknesses yet.

The next meeting was scheduled for the 19th of November 2006 the same venue and time.
